How to work with "Planning"

In the 'Planning' module, you can easily plan: meetings, internal audits and toolbox meetings. You can log who attended the meeting(s) and manage it.


Plan a Meeting

To plan a meeting you need to click on 'Plan', and click on 'Meeting'


After you clicked on the 'Meeting' button, you will see the following screen. First, you need to fill in the title of the meeting. This will also be the subject of your e-mail invitation. After that, you can select the type of meeting, for example, a digital toolbox meeting. Select the date and the location where the meeting takes place. Afterwards you need to select the participants. By clicking on the button 'Select Participants', you can select all your participants who have an account in Qooling. If you want to invite an employee who doesn't have an account in Qooling, you can add them by clicking on 'Add' or import the employees with a CSV file. Then you need to select the 'Organizer'.

 

At last, you can edit your message to your participants. The e-mail message will be added to the invitation. If you want to attach a file you select the button 'Upload files' and select your file. Also, we recommending to set an e-mail reminder to remind your participants. 

 

Plan an Internal audit

Most companies need to plan their internal audit far in advance. With the planning tool in Qooling you can easily plan your audit in advance. To plan a new audit you click on 'Plan new' and select 'Internal audit'.

 

Now you can fill in the 'Title' of the audit, select the 'Auditor' and the 'Audit date'. Also you can fill in the Procedures. If you save the internal audit, the auditor will get a task on his dashboard to complete the internal audit. You can set up a reminder for him too. 

After saving the internal audit you will see it in the overview.

 

Plan a Toolbox meeting
To plan a new toolbox meeting you click on 'Plan new' and select 'Toolbox meeting'.

 

In the following screen, you can fill in the Title of the toolbox meeting, the 'Date' when the toolbox meeting taking place and the 'Location' (also online is an option). Next, you will select the 'Participants' who need to attend the toolbox meeting. You can select the groups or you can select the participants per employee.

 

After you have selected the employees you can make an invitation for the participants. You can 'Attach files' and set up a 'Reminder' for them. If the toolbox meeting is recurring. You can mark the box at the top: 'Recurring toolbox meeting' and set a recurrence pattern.
