Qooling has a palette with a lot of different fields.
Before we start explaining each of the fields in the palette, here is some basic information that applies to (almost) all fields.
When a field is selected, ‘open’ it up:
Click on this symbol to ‘open’ a field.
After clicking on the symbol, you will see the following:
- Available on mobile app: when you mark this box, this field will also appear on the mobile app/tablet.
- Required: if this box is marked, this means that this field can not be empty. You can use this if certain questions are mandatory, and need to be answered.
- Field type: Here you can choose between ‘text’ and ‘textarea’. The key difference here is that the textbox of a textarea is bigger than the text field.
- Display name: this is the ‘question’ that will be displayed when filling in the form. In the image above, ‘Text’ and ‘Textarea’ are examples of display names.
- Placeholder text: text that will be displayed before answering the question.
- Tooltip: is text that appears as a text balloon.
- ID: In order to save your newly created form, every ID of each field needs to be unique. If you cannot save a form due to duplicated CID’s, you need to edit the duplicate ID’s in order to save the form. We wrote a dedicated article on this topic here.
Now that we have gone through the ‘basics’, it’s time to take a look at the actual palette. We will go into detail of each of the fields in the palette.
Text
The text field allows you to simply write down text & numbers if needed.
Number
This field is similar to the ‘text’ field. However, in this field it is only possible to answer in numbers. It is not possible to write text.
Section
You can keep separate sections with this field. Basically, you can see it as chapters that organize your form.
Date
In this field, you can answer with the date. There is a possibility to add the time as well, also an option for a prefilled date, or a fixed date.
File
With this field you can upload a file if you want. On the web version it is possible to upload files. On the mobile app/tablet it is also possible to take a picture and directly upload this.
User select
When you use this field, you can select a Qooling user in your environment.
Signature
When you click on "sign", you'll get the possibility to add your signature.
QR-scan
With this field, you can scan "QR-codes" with your phone or tablet. When doing this, the code will be scanned and automatically filled into the field. On the web version of Qooling, it's only possible to add the numbers manually.
Linked entities
This field gives you the option to link certain documentation to other documentation within Qooling. For example, you'll get the possibility to link to (existing) procedures, forms, and files in your environment.
Notifications
With notifications it is possible to add a user(s) to get notified after a form entry is created.
Send PDF
In this field, it is possible to standardize e-mail addresses that you want to receive an automatic e-mail every time a new form entry is created (PDF copy with the form entry included).
GPS
Using this field, in the form entry it will be visible what the precise GPS location was when the entry was created.
Question
In this field, you can ask a question, and define multiple answer options (one correct answer).
Description
The description field can act as an informational field. It can be used to help the respondent understand the question, or the process better. For example, it is possible to add pictures to the description field.
Select list
It's possible to change the display name, and tooltip. Here you can let the respondent choose a pre-made answer, but with the option to do a follow-up question.
Status list is another option of a select list. The status list you can use for to point out answers with color. Like in this example, if you answer (0-5) the answer will be green, if you answer (6-10) the answer will be yellow, and if you answer (11-15) the answer will be red.
*Note: As well as the color(s) as the answer options are possible to edit.
Checkbox list
Is similar to the select list. Also has the ability to change the display name, and tooltip. The difference is that the checkbox list doesn’t have follow-up questions. Also, with a checkbox list, it is possible to select multiple answers - where that is not the case with a select list. Instead of choosing the checkbox list, it also possible to change it into a radiobutton list, or a weighted radiobutton list.
The main difference is that with a checkbox list, you can select multiple answers. With the radiobutton list, or weighted radiobutton list, it is only possible to select one answer. What differentiates the radiobutton list from the weighted radiobutton list is the layout:
Integration
This field allows you to link master tables to a form. For example, you can use your list of customers here. So you will have a drop down field, with all your customers to choose from.
Calculated field
In this field, you can enter formulas. You can use two (or more) number fields, and create a formula. The calculated field will make the calculation. The inputs allowed are: + - * / ( )
For this example, we used the formula: Number1 + Number 2
